Effective date: [[POLICY_EFFECTIVE_DATE]] · Version: 1.0 Applies to: www.akontec.com, projects.akontec.com, akontec.com/a.digital, Akontec platforms and applications, and services delivered by Akontec.

This is a working policy draft prepared for Akontec's own publication. Have it reviewed by counsel before publishing; Akontec is not receiving legal advice through this document.

1. Who we are

Akontec ("Akontec", "we", "us") is a BPO project outsourcing and consultancy firm with its corporate office at [[CORPORATE_OFFICE_ADDRESS]], Chennai, Tamil Nadu, India.

Data protection contact: [[DPO_EMAIL]] · support@akontec.com · +91 99944 61072.

2. Two roles we play

As a Data Fiduciary/Controller — for data we collect for our own purposes: website visitors, enquiries, partner registrations, employees and candidates.

As a Data Processor — for personal data belonging to our clients' customers that we handle while delivering a contracted process. In that role we act only on the client's documented instructions, under a Data Processing Agreement. The client remains the fiduciary.

3. What we collect

From website and enquiry forms: name, company, email, phone, country/city, the message you send, and the pages you visited.

From partner registration (projects.akontec.com): business name, entity type, registration and tax identifiers, address, contact person details, seat capacity, infrastructure details, bank details for payouts, and KYC documents.

From clients: contact details of your team, contract and billing information, and the operational data needed to deliver your process.

From candidates: CV contents, work history, education, references and interview records.

Automatically: IP address, browser and device type, referring URL, timestamps, and cookie identifiers. See 05_Cookie_Policy.md.

On recorded interactions: where calls or chats are recorded for quality and training, the recording and its metadata. Recording is disclosed at the start of the interaction.

We do not sell personal data. We do not use client operational data to train general-purpose models, and we do not use one client's data to serve another.

5. Who we share it with

We do not share your data with anyone else for their own marketing.

6. Where it is stored

Primary storage is in India. Some sub-processors may store or process data outside India; where that happens we apply contractual protections and, for client data, only with the client's agreement recorded in the DPA. International engagements may specify a data residency requirement, which is honoured in the SOW.

7. How long we keep it

Invoices and financial records8 years (statutory)
Partner KYC records8 years after relationship ends

Fuller detail: 24_Compliance/06_Document_Retention.md.

8. Your rights

You may request access to your personal data, correction of inaccurate data, erasure where we have no continuing legal or contractual basis to keep it, withdrawal of consent for marketing, and nomination of a representative where the law provides for it. You may also complain to the relevant data protection authority.

To exercise any right, write to [[DPO_EMAIL]] with enough detail to identify your record. We respond within 30 days. Where you are a customer of one of our clients, we will forward your request to that client, who is the fiduciary for your data, and tell you that we have done so.

9. Security

Access is granted on a least-privilege basis and reviewed periodically. Partner workspaces are data-isolated from one another. Data is encrypted in transit; sensitive data at rest is encrypted. Devices used on delivery floors are restricted per the client's Information Security requirements. Our full security posture is described in 24_Compliance/03_Information_Security_Policy.md. If a breach occurs that is likely to affect you, we will notify affected parties and the authority as required, per 24_Compliance/03.

10. Children

Our services are not directed at children and we do not knowingly collect their personal data.

11. Changes

We will post any change on this page with a revised effective date. Material changes are notified to clients and partners directly.
